Position Overview:
Legor USA is seeking an experienced and dynamic
Office Manager
to join our team in New York. The Office Manager will oversee the daily operations of our office, ensuring an efficient, organized, and positive environment for employees and visitors.
Key Responsibilities:
Office Operations:
Manage all aspects of day-to-day office operations, including ordering supplies, coordinating maintenance, and ensuring a clean and organized workspace.
Administrative Support:
Provide reporting to the Managing Director, including sales reports, market analysis and service level success.
Vendor Management:
Liaise with vendors and service providers to ensure timely delivery of office supplies, IT services, and other operational needs.
Communication Hub:
Act as the primary point of contact for internal communications, ensuring the flow of information across departments is efficient.
Compliance & Recordkeeping:
Ensure that office policies and procedures are up to date and in compliance with company regulations.
Customer Support:
Assist with client inquiries and direct them to appropriate team members as necessary.
Sales Order Processing:
Process quotations and final sales invoices. Plan and coordinate customers’ pick-ups and deliveries.
Stock Management:
Analyze and communicate to the Purchasing Manager stock positions and order requests. Perform monthly inventory counts and detail any discrepancies.
Qualifications:
Education:
Bachelor’s degree in business administration, Office Management, or a related field preferred but not required.
Experience:
Minimum 3-5 years of experience in office management, executive assistance, or a similar role.
Skills:
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
Ability to handle confidential information with discretion.
Experience in the jewelry production and/or plating industry a plus.
Soft Skills:
Friendly and approachable with strong interpersonal skills.
Problem-solving attitude with a focus on improving processes.
Self-starter who can work independently and manage multiple priorities.
